    Who signs, by trade

    Who signs commercial service contracts

The buyer is rarely the business owner. It is whoever runs the property: find that person for your trade and the contract follows.

    Security guard companies

Property managers of office towers, apartment complexes and retail centers sign guard contracts; so do general contractors for construction sites, and HOAs for gated communities.

Ask when the current guard contract ends: many run for a year.

    Commercial landscaping

Property managers, office park facility managers and HOA boards, often through their management company. One manager can sign for several sites.

Call before the season: many grounds contracts are signed in late winter.

    Snow removal

Retail plaza owners, property managers, HOAs, clinics and car dealerships: anyone whose lot must be open by 7 a.m.

Start calling in late summer, before the winter contracts are signed.

    Pest control

Restaurant and hotel general managers, food warehouses and property managers. Food businesses must keep pests out to pass inspections, so they buy recurring service.

Ask for the general manager, not the host stand or the front desk.

    Commercial cleaning

Office managers, practice managers at clinics, gym owners and property managers.

See the full playbook in our commercial cleaning guide below.

    Maintenance, HVAC and window cleaning

Facility managers and property managers who already buy several services from local vendors.

Ask which vendors they would like to replace: there is usually one.

    The decision makers

    What each buyer cares about

Search these four first. Each one decides differently, so adapt your first call.

    Property managers

They manage several buildings for owners and sign most service contracts. They want reliable vendors who send proof of work and do not generate complaints.

Ask how many properties they manage and which ones are up for renewal.

    Facility managers

They run offices, campuses and warehouses for one company. They care about compliance, insurance and response times.

Have your certificate of insurance ready to send after the call.

    Office managers

In smaller businesses the office manager picks the cleaner, the pest control and often the landscaper. They decide fast.

A short quote with a fixed monthly price wins here.

HOAs, condo boards and managing agents

In the US, HOA boards approve contracts; in Canada, condo corporations and strata councils; in the UK, managing agents for residential blocks. Most hire a management company that does the calling for them.

Find the management company first: it often handles several associations.

    What to say

A first call that gets you a site visit

“Hi, this is [name] from [company]. We handle [snow removal / landscaping / security] for properties around [area]. Who looks after service contracts for your buildings? … When does your current contract come up for renewal? I would like to walk the site and send you a written quote before then.”

Ask two questions: who decides, and when the current contract ends. Log both answers and call back a month before.

    Bid boards or direct prospecting

Get in before the contract goes out to bid

Bid boards and lead sites send the same job to many contractors, so you compete on price. When you call property managers directly, months before renewal, you are often the only new quote they see, and you choose the properties close to your crews.

    FAQ

    Questions about winning commercial contracts

How do I get commercial contracts as a small company?

List the people who sign them in your area (property managers, facility managers, HOA management companies), call them to learn who decides and when their current contract ends, then visit the site and send a written quote before that date. LeadsIt does the first step: it lists those businesses with the phone numbers and emails they publish.

Who signs snow removal and landscaping contracts?

Usually the property manager or the management company acting for the owner or the HOA board. For a single-site business, it is the owner or the general manager.

    When should I start calling?

A few months before the work starts: late summer for snow removal, late winter for landscaping. Security and pest control contracts renew all year, so ask each prospect for their renewal date and log it.

Do I get the property manager’s direct line?

You get the public phone number, website and the emails each company publishes. Ask the person who answers for whoever handles vendor contracts.

Is it legal to email or call these businesses?

Calling a business about a business offer is generally outside consumer do-not-call rules, but rules vary by country and state, so check yours. In the US, CAN-SPAM allows business email if you identify yourself, include your postal address and honor opt-outs. In the UK, PECR lets you email companies without prior consent if you offer an easy opt-out (sole traders need consent). In Canada, CASL allows it when the business publishes its address and your message relates to its work. LeadsIt only collects public business data.

    How much does it cost?

Your first city search is included with a new account, no card needed, and shows you its 5 strongest businesses. To get the full list, packs start at $6.90 for 5 credits, with no subscription, and credits never expire. One credit is one city search; a whole region is 13.
