Prospecting calculator: how many businesses should you contact?

Work backwards from the number of new clients you want. Enter your own reply rate, how many replies become meetings and how many meetings become clients: the calculator shows how many businesses to contact each month and each working day.

The starting values are an example, not a benchmark. Replace them with your own figures.

How the calculation works

Clients ÷ closing rate = meetings needed. Meetings ÷ meeting rate = replies needed. Replies ÷ reply rate = businesses to contact. Divide by your working days to get a daily target you can actually plan.

Where to find your own rates

  • Reply rate: replies divided by the businesses you contacted last month, by email, phone or message.
  • Meeting rate: meetings booked divided by those replies.
  • Closing rate: new clients divided by meetings held.
  • No history yet? Contact a first batch, count the results and come back with real numbers.

Improve the rate before the volume

Raising a rate is often easier than contacting more businesses: target businesses with a visible need, open with something specific about them, and follow up once or twice. Every point gained lowers the daily target.

Get the businesses for your daily target

One LeadsIt credit searches one business type in one city and returns the matching businesses with the contacts they publish; a whole region costs 13 credits. Packs from $6.90, credits never expire.

Frequently asked questions

What is a good reply rate for cold outreach?

It depends on your offer, your targeting, the channel and the message, so the calculator does not assume one. Measure yours on a first batch and use that figure.

Should I count calls and emails together?

You can, if you treat each business as one contact. For more precise planning, run the calculator once per channel with that channel’s rates.

Why plan per working day?

A monthly target is easy to put off. A daily number of businesses to contact is easy to block in a calendar and to check at the end of the day.

Are my figures saved?

No. Everything is calculated in your browser.
